Live Event Embroidery
Live Personalization Experience Guidelines
Beautiful experiences require thoughtful planning.
Atlanta Monogram’s live embroidery activations are designed to give guests a memorable, highly personalized experience in real time. Because every event, garment, design and guest interaction is unique, our live services operate under the following experience guidelines.
Activation Fees & Merchandise
The live activation fee covers Atlanta Monogram’s professional onsite service, equipment, event preparation and reserved event time.
Activation fees are separate from merchandise costs.
Merchandise, sourcing, embroidery services, shipping, specialty materials and other approved add-ons may be quoted separately depending on the event.
Payment for merchandise does not replace or satisfy the live activation service fee unless expressly stated in the written proposal.
Live Production & Throughput
For simple initials or short text designs under 5,000 stitches per design, our rough throughput estimate is 7–8 items per hour per machine. For planning purposes, allow 20–30 completed items per machine over our four-hour minimum, including garment handling, hooping and transitions between orders. These are planning estimates rather than guaranteed quantities. Final capacity is confirmed around the approved merchandise, personalization menu, active service hours, machines and dedicated operators.
Live embroidery is an experiential service, not an assembly-line production service.
Estimated production quantities may be provided for planning purposes, but Atlanta Monogram does not guarantee a specific number of completed items during the event window.
Actual production may vary based on personalization complexity, guest decision time, garment construction, hooping and placement, thread changes, item variation, machine conditions, design changes and other normal onsite factors.
Our priority is to provide beautiful personalization while maintaining the quality of each finished item.
Digital Ordering & Guest Queue
A digital ordering and queue system is essential for maximum efficiency. It captures guest personalization selections and approvals upfront, matches each order to its garment, and tracks progress through preparation, embroidery and pickup. A focused, pre-approved menu and a dedicated order coordinator help keep the guest experience organized and production moving.
Digital form setup, queue coordination and staff responsibilities are defined in your event proposal. Explore our Live Embroidery À La Carte services for digital order forms, guest-flow planning and other event support.
Event Time & Setup
The contracted activation time refers to the scheduled guest-facing event window.
Atlanta Monogram may recommend an earlier arrival time for unloading, setup, equipment testing and preparation. Recommended setup times are operational estimates unless a specific vendor call time is stated in the signed agreement.
If the client requires setup, rehearsal or standby time beyond the agreed scope, additional fees may apply.
Curated Personalization Menu
Every Atlanta Monogram live embroidery activation includes a curated personalization menu thoughtfully designed for the brand, occasion, and guest experience.
Before the event, we work with the client to select a refined range of approved embroidery options, including fonts, thread colors, monograms, initials, short phrases, icons, design sizes, and designated placements. Guests then choose from those options for a personal experience that still feels cohesive with the brand.
To ensure beautiful results and an efficient guest experience, embroidery layouts and placement choices are established in advance. Guests may personalize with their own initials or other approved selections, but individual requests to change lettering styles, colors, combinations, or design locations outside the curated menu may be declined.
Live activation bookings reserve dedicated on-site time, professional equipment, and personalization services—not a guaranteed quantity of finished items. Projects requiring a specific number of completed pieces are handled as separately quoted production embroidery orders.
Our team manages guest intake according to the event duration, complexity of the approved menu, and remaining capacity, and may close the queue before the scheduled end time to complete accepted requests.
Unfinished Guest Orders
Atlanta Monogram does not guarantee that every submitted personalization request will be completed during the contracted event window.
Orders remaining at the conclusion of the event are not automatically included in the live activation fee.
If the client would like Atlanta Monogram to complete remaining orders offsite, post-event production may be quoted separately based on the actual personalization requested.
No additional post-event production will begin without client authorization.
Merchandise, Sizes & Unused Inventory
When Atlanta Monogram supplies merchandise, quantities and sizes are ordered based on the client-approved selection.
Availability, substitutions and shipping timelines are subject to supplier inventory.
Unused merchandise remains subject to the terms of the approved proposal. Returnable merchandise may be credited when eligible, less any supplier fees, shipping costs or non-refundable charges.
Personalized merchandise cannot be returned.
Equipment & Venue Conditions
Professional embroidery equipment requires appropriate power, workspace and operating conditions.
Production may be affected by power limitations, unstable furniture, weather, guest traffic, equipment interruptions or other venue conditions outside Atlanta Monogram’s direct control.
Reasonable machine interruptions or production delays do not constitute nonperformance of the contracted activation.
Client & Venue Responsibilities
The client is responsible for providing accurate event details and communicating relevant venue requirements before the event.
This may include access instructions, parking or loading information, electrical availability, table and chair availability, security requirements, weather protection and the designated onsite contact.
Changes to the event environment or scope may require modifications to the setup or additional fees.
Quality Concerns
Atlanta Monogram takes pride in the quality of its embroidery.
Any concern regarding a completed item should be brought to our attention as soon as reasonably possible so that we have an opportunity to review the item and, when appropriate, offer a reasonable correction.
Because personalized merchandise is custom-made, minor variations in positioning, thread tension, fabric behavior and stitch appearance may occur.
Your Event Agreement
These website guidelines provide an overview of Atlanta Monogram’s live activation policies.
A customized proposal and Live Personalization & Brand Activation Agreement will be provided for booked events. The signed agreement governs the specific terms of each activation.
By booking Atlanta Monogram, the client acknowledges that live personalization is an interactive experience and that production quantities are estimates rather than guarantees.
